What are the hours of operation for the Parts department?
The Parts department is manned from 6:00 AM local time until 4:00 PM Monday to Friday. Parts department is closed when the factory is closed for holidays.

What information should I have when ordering parts for a Data Aire unit?
You must have the unit’s model (MN) and serial number (SN) to ensure you get the correct parts. You will find the MN and SN on the unit’s Name Plate.
How quickly are part orders fulfilled?
We aim for ‘same day’ shipping. Our ultimate goal is to ship all parts orders within 24 hours of receipt of the hard copy of the purchase order. Some items may require longer fulfillment time and you will be advised of the lead-time once it’s confirmed with production or our vendor.
How are parts routinely shipped?
All Parts orders are shipped UPS ground or Pilot Freight unless otherwise requested on your Purchase Order.
How can I get the tracking number for part shipments?
You can receive the tracking number by contacting the Parts department 24 hours after you have submitted your Purchase Order. This will ensure enough time to pull, pack and ship the parts and obtain a tracking number from the freight company.
If I need my parts sooner can this be done and what do I need?
If you need to have the parts arrive sooner than UPS ground/freight, you will need to specify on your Purchase order the mode of UPS shipment you want; next day air, or second day air or any other UPS shipment options.
Who pays for shipping?
Shipping charges will be added to your invoice or you can provide us with your UPS account number for direct billing. A $15.00 handling fee will be added to all parts shipments.
How do I pay for part orders?
If you have an account with Data Aire, part orders will be invoiced the day following shipment and mailed to you.
Does the parts department accept credit cards?
Yes, Data Aire accepts VISA and Master Charge. Please allow an additional 24 hours for processing of credit card orders.
How late in the day can I order parts and have them ship out the same day?
Most parts can be shipped the same day if specified on the purchase order and the purchase order is received by 12:00 PM local time.
How do I order parts that are under warranty?
We still require a Purchase Order for warranty parts. However, you will need to contact the Service Department and obtain a Return Materials Authorization (RMA). You can contact the Data Aire Service Department at (714) 921-6000.

Your Purchase Order will need to state the RMA.
Do I have to return warranty parts to the factory?
Yes, all warranty part(s) must be returned to Data Aire for inspection and testing. A warranty credit will not be authorized if the warranty part(s) have not been returned to Data Aire.
Who pays shipping for returned warranty parts?
Our warranty states that the warranty parts must be returned to the factory, transportation charges prepaid. If the warranty parts are not prepaid the shipment will be refused and returned.
What if I ordered the wrong parts, can I return them?
Most parts can be returned with an RGA (Returned Goods Authorization) number, which can be obtained from the Parts Department. Parts returned without an RGA number will not be accepted. There will be a 35% restocking charge on all parts returned.
What if I received the wrong parts?
You will have to obtain an RGA number from the Parts Department and return the parts to the factory. You will not be charged a restocking fee and Data Aire will pay freight.
If a customer cancels an order, can I return the parts?
Yes. You will need to obtain an RGA from the Parts Department then return the parts to the factory UPS ground freight prepaid. A restocking fee of 35% will be charged.
What happens when I receive damaged parts?
If you receive parts that are damaged your recourse will be against the shipping firm. In no instance do we ship damaged parts. You are responsible for filing a freight claim with the freight company, even if it is concealed damage.
